Do I need custom software, or will an off-the-shelf app do?

Most businesses should start with something ready-made. Some should not. A short test for which one you are, with the real costs of each path.

Start with off-the-shelf software if your process is ordinary and the tool exists in Arabic with ZATCA-compliant invoicing. Build custom when the software would have to change how the business works, when you are paying for three tools to do one job, or when the data is the business. Custom costs more up front and less over five years; off-the-shelf is the reverse.

We build custom software, so you might expect us to recommend it. We usually do not. Most growing businesses are better served by a ready-made tool for the first few years, and the money saved goes into marketing. Here is how to tell which side you are on.

Start ready-made if

  • Your process is ordinary: quotes, invoices, stock, appointments. Good tools exist for all of these, several of them in Arabic and ZATCA-ready.
  • You have fewer than ten people using the system.
  • You are not sure yet how the business will run in two years. Ready-made software is easy to leave.

Consider custom when

  • The tool would change how you work. If the software forces a workflow your staff keep working around in spreadsheets, the spreadsheet is the real system and the subscription is waste.
  • You pay for three tools to do one job. A POS, a separate stock sheet and a third app for supplier orders, reconciled by hand every week, is a system waiting to be built.
  • The data is the business. Customer history, pricing rules, routes, bookings. If competitors could not copy you because they do not have your data, you should own the software that holds it.
  • You have more than one branch. Branch dashboards, transfers and consolidated reporting are where ready-made tools start charging enterprise prices.

The real cost of each path

Ready-made: SAR 200 to 1,500 a month per tool, rising with users and modules, forever. Custom: SAR 15,000 and up to build, then a modest monthly fee for hosting and support. Over five years the lines usually cross somewhere in year two or three, but only if the custom system was scoped to what you actually need.

We spend the first conversation trying to talk you out of custom software. If the case survives that, we write a fixed scope with an itemised price before anything is built, and deliver in stages you can use as they land. The first stage is always the one that removes the most manual work.
